The date of injury/onset date flows over from the EMR as the First Symptom date in Therabill. This date cannot be on the claims for chiropractic care as it creates an incorrect loop on the claim file. Instead, the First Treatment box needs to be completed (this field does not flow over) as this populates the correct loop for Medicare Chiropractic claims.
Once the First Treatment date has been added to the client chart, it will remain. However, the First Symptoms date will continue to populate with each Daily Note that flows over from the EMR; this date must be removed before each claim submission.
Date Updates
Let's review how to update the First Treatment date and remove the First Symptom date.
- Hover over Billing and select Bill Insurance.
- Choose Select Client.
- Click on the client name.
- Select the blue pencil next to the client name on the top right.
- Click on Advanced tab within the client chart.
- In the Dates section, remove the First symptoms date and add the First treatment date (this should be the only date listed).
- Choose Save & Close.
Client Identifier
You also may want to use the client identifier field within the chart to help you quickly see which patients are receiving chiropractic treatment. You can use this information to identify which charts you need to update prior to submitting claims. The client identifier is only visible in Therabill and it will never be included in any external transmissions.
Multiple Cases
If the patient has multiple cases, the information contained with the client chart will be contain the information from the most recently finalized daily note.
