In this article, we’ll cover how diagnosis codes are integrated with Therabill, and how to reorder the diagnosis codes within the system.
Adding Diagnosis Codes
There are three places where diagnosis codes are added to the EMR. This is how they work together.
- Diagnosis (Case): Diagnosis Codes can be added when creating the patient’s case in the WebPT EMR. This code is typically sent by the referring physician as the reason for the patient’s referral.
These codes are the ones that flow into the case in Therabill and are included on the claim with the charges.-
For WebPT EMR (SOAP 1.0) integrations you can edit these codes in the Patient Case
- For WebPT EMR (SOAP 2.0) integrations you can enter/edit these codes in the Assessment section of the note.

- Diagnosis (Note): The Diagnosis section of the patient note and the Case diagnosis are connected. The diagnosis on the case will be updated automatically if the therapist enters new diagnosis codes into the Diagnosis section of the patient note. This ensures the case reflects the most current diagnoses.

- Treatment Diagnosis (Note): The Therapist will want to place the same ICD10 codes that are in the Diagnosis (Note) in the same order so the transmission will not change the order in which the ICD10s will appear in Therabill.

Diagnosis Codes in Therabill
Let’s review how diagnosis codes appear in Therabill and then how to reorganize the diagnosis codes.
Remember, only the Diagnosis codes that appear in the patient’s case in the WebPT EMR flow in to Therabill. These are also the codes that show on the patient’s charges in Therabill.
When a date of service flows into Therabill, it will automatically attach the case diagnosis codes as the Treatment DX codes in the Billing & Coding section of the session.
Updating Diagnosis Codes
If the provider updates the Treatment Diagnosis section in the patient note in the EMR, they will need to also update the Diagnosis section, or it will not flow over in to Therabill.
With that being said, if we need to reorder the codes, we have to access the patient’s account and add the new diagnosis code to the Therabill case.
- Navigate to Clients and select Client List.
- Search for the patient and click the blue pencil icon to edit the client.
- Click on the blue pencil to edit the Diagnosis (Cases) section of the client’s profile.
- From the Edit Case window, add the diagnosis codes in the order they should appear on the claim. Then, click Update to save.
- To update the diagnosis for individual Dates of Service, click the Filing button on the client record.
- Click on the blue pencil icon to open the session.
- Then, click on the blue pencil in the Treatment Dx field to update the diagnosis codes for that date of service.
- Use the checkboxes to select or deselect the diagnosis codes and click Save.
- Note: If you change the order of the diagnosis codes in the Edit Case section, it will change the order of the diagnosis codes for all of the visits associated with that patient’s case. You can either deselect certain codes or leave all codes on the claim in the specified order that flowed over from the EMR.
