Administrative reports can be used to track activity performed by users.
Note: The time that is logged will always be reported in Central Time, regardless of your clinic's timezone.
Note: You are able to filter these reports by User Accounts that have been deleted. You will not be able to filter by a Provider login that has been deleted, but the activity will still be recorded.
PHI Access Logs
Various activities that may involve the view of Protected Health Information (PHI) are logged in this report. The report shows the timestamp (date and time), the action performed, and who performed the action. Main Account will be listed if the action was performed by the administrative login, otherwise, it will list the provider or user account. Not all actions performed in Therabill are logged. The various types of PHI access that are logged are as follows.
- ADD_CLIENT: A client/patient was added.
- EDIT_CLIENT: A client/patient was edited.
- DELETE_CLIENT: A client was permanently deleted.
- INACTIVATE_CLIENT: A client was inactivated.
- VIEW_CLIENT: The edit client form was opened.
- ADD_SESSION: A session was added into Therabill.
- EDIT_SESSION: A session was edited.
- DELETE_SESSION: A session was deleted.
Activity Log
This report will show many of the activities/operations that have been performed within your clinic. There will be boxes that describe what action was completed, Who performed the activity, and When it took place. If Who is blank, then it means the action was performed by data sent from WebPT. There is also a View Data link that will list the actual coding that was sent to the Therabill server.
You can filter the information based on action Type, the category the action was performed On, the user/provider who performed the activity, and the date range. There is also a Description box where you can enter any text you want to search for in the activity log.

There are actions that result in sub-actions, such as posting a payment to multiple service lines. This will result in a main entry followed by indented sub-entries.
Note: The Activity Log will only go back to 09/05/14.
Logins
This report shows logins (Main, User, Provider) that have been used in the specified date range. You can also filter by a specific login. Each line will show the name associated with the login, the Login timestamp, and the Last Activity timestamp. There will also be a line of information passed back by the browser that was used for the login. This can sometimes show the operating system/computer type that was used (i.e. Windows or Macintosh), as well as the browser name and version (i.e. Chrome or Safari).
