These reports provide a variety of statistics about your sessions and correlate them to other key variables (i.e. rendering provider or service codes). These reports are generated using a Date of Service range.
Cancellation Summary
Note: This report can be useful to integrated clinics that manually enter canceled sessions into Therabill to track cancellations and charge related fees. The Therapy Hours section is not useful to integrated clinics, as the length of a session is always recorded as one hour.
This report is a summary of scheduled sessions, confirmed sessions, and canceled sessions. The report is grouped by profession (provider taxonomy), which is useful if you are a multi-disciplinary clinic. Within each discipline, the report will list each of your providers within that discipline. For each provider, it will show the total number of scheduled sessions, the number of those that have been confirmed, and the number of those that were canceled.
Important: You must use session classes within Therabill to track canceled sessions. For information on cancelling sessions please see: How To Cancel A Scheduled Session For video instructions on using session classes, please see: Session Classes in Therabill.
The second set of columns in this report shows productivity as the number of hours.
The productivity percentage is equal to the number of sessions divided by the number of confirmed sessions. The payments column is equal to all payments (insurance and client) that have been posted to the sessions within the date range.
Provider Code Summary
This report is a summary of all scheduled sessions that were not canceled. The following information will be displayed in Grand Totals: number of sessions, number of units, total charges, insurance payments, client payments, agency payments, and adjustments. Below the Grand Totals, the report will be grouped by profession (provider taxonomy), which is useful if you are a multi-disciplinary clinic. Within each discipline, the report will list each of your providers within that discipline. For each provider, it will use the same columns as Grand Totals. If you click Yes for the Show Detail feature, each provider will be presented with a breakdown by service code.
Code Summary
For more information, please see: Code Summary Report.
This report will display codes that were used during a specified date range. The Code Types that are available for use are Service Code/CPT, Session Class, and Primary Diagnosis (ICD-9 or ICD-10). Each row will be a unique code (i.e. 97110 and 97110 GP). Information presented for each code includes the number of clients and providers with sessions using the Code Type. In addition, the total number of units and visits are shown. The payments section will show you a sum of insurance payments, client payments, agency payments, and adjustments applied to that Cody Type. Finally, the total charge amount for the Code Type is displayed.
Note: To use the Session Class view, you must be using session classes in Therabill. For information on session classes, please see: Session Classes in Therabill
Provider Weekly Totals
Note: For integrated clinics, running the report using a time-based filter (hours or minutes) is not useful, as all sessions default to a length of one hour.
For more information, please see: Provider Productivity Weekly Summary
This report lets you see how your therapists are performing weekly. You can alter the date range and the kind of information you are wanting (i.e. hours worked, charges, visits). All weeks begin on a Monday. If you choose a start date that it not Monday, the first week will begin on the day chosen, but subsequent weeks will still start on a Monday. Therabill will display the totals for each provider during that time period.
Custom Productivity Array
For more information, please see: Custom Productivity Array Report
This is a flexible report allowing you to create an array (table) for a given date range. You define the labels for the rows and the columns (i.e. Provider and Service Code/CPT). Then, you can define what should be displayed inside the table (i.e. Visits, Charges, or Insurance Payments). Once the variables have been selected, click Go to generate the report.
Important: Due to the nature of custom arrays, the array may exceed the available page space. You may need to scroll to the side to view the entire array.
PRINTING LIMITATION: Due to the nature of the variable size of this report, this report cannot be printed as a PDF. Select a CSV file, which can then be opened in a spreadsheet application such as Microsoft Excel.
