The error message is indicating that a birthdate that you entered on the claim is not valid. On most claims, the only birthdays listed are going to be the subscriber and / or patient birthdate. An invalid birthdate could happen for some of the following reasons:
- The payer is checking the birthdate you supplied with the birthdate they have on file for the patient in their database and the birthdate you supplied does not match what they have on file. If this is the case, and you verified with the subscriber that you have entered their correct birthdate, then you may want to call the payer to find out what they have on file.
- The birthdate is not a valid date for the claim. For example, maybe the date of service is after the date of service on the claim. Or, the date you entered is not a valid date. This is most likely not the case in Theraibll, as Therabill would normally catch this error prior to claim submission.
Please remember that most EDI rejections are coming from the payer. If you cannot readily determine what information you have entered is invalid or what birthdate you should be using, then you should call the payer to find out what they have in their system. Therabill does not have this information, nor do we have access to it. The only information that Therabill can access (upon your request) is the information that you have entered in to Therabill. For this reason, Therabill support has no way of helping you determine what value you should be putting in as the birthdate.
How to fix in Therabill
The client birthdate and the subscriber birthdate can be viewed / edited from the edit client form. If you are on the error page in Therabill, then you can click the edit icon next to the client name on the error page to open up the edit client form. Otherwise, you can get to the edit client form from your client list (click Clients in the top navigation bar of Therabill) and then click the edit icon associated with the client in your client list. You should check both the client birthdate and the subscriber birthdate (by clicking the edit icon next to the insurance card on the edit client form). Once you have made your changes (remember to save the client), you can then go to the error page and click the Resubmit Electronically button at the top of the page.
