This article reviews how to re-map your insurance cards in bulk. This applies to Standalone users and WebPT EMR Integrated users.
Standalone Members
To remap your clients' insurance cards without having to proceed client by client, we have created a bulk mapping tool.
- Navigate to Billing > Insurance List.
- Locate the payer whose mapping you need to update and select Remap Insurance Cards.
- In the provided field, type the name or Payer ID that corresponds to the selected payer. The correct electronic payer should have "AV" listed at the end. To create a Print & Mail payer, type in the desired name of the Payer and click Tab on your keyboard.
- Click Save Changes.
Now, any insurance card that was originally mapped to that payer will have been updated.
WebPT EMR Integrated Members
Insurance Cards Created By WebPT EMR Integration
Use the new insurance mapping tool to update client insurance cards in bulk.
- Navigate to Admin > Defaults/Settings > Administrative.
- At the bottom of the screen, locate the Insurance Mapping section.
- Search for the Note/Title that matches the insurance name in WebPT or select the View All link to display all entries.
- In the corresponding Payer field, enter the electronic Payer ID or begin typing the insurance name to display a drop-down with possible matches.
- Choose the desired entry from the list. To create a Print & Mail payer, type in the desired name of the Payer and click Tab on your keyboard.
- Select Save. A dialog box will appear asking for confirmation.
Now, any insurance card that was originally mapped to that payer will have been updated.
Manually Added Insurance Cards
If you ever added a card manually into Therabill for a client, it must be manually updated on a card-by-card basis.
- Navigate to Billing > Insurance List.
- Locate the entries that relate to an Office Ally payer and select the Active Card Count.
- On the Client List, click the next to each client name.
- Locate the desired insurance card and click the icon.
- In the Policy Info section, enter the name or Payer ID into the Ins Company field and select the corresponding payer that has "AV" listed at the end.
- Click Apply Edits, followed by Save & Close.
Now, that insurance card will have been updated to the Availity payer.
