Defects Corrected
- Previously, the "Send back to Insurance Invoice area" button on a session was only available for 6 months after the Service Date. This has been updated to be available for a period of 1 year.
- On the Balance Aging Report, when Aging is set by Client or Responsible Party, a new column was added recently to display the date of the most recent client payment. However, it was displaying date information about insurance payments as well. This has since been corrected and only client payment information will be displayed in this column.
Added Additional Patient Responsibility (PR) Code Information
Uncover more information with your ERA submissions to better help patients with questions about their financial status and so you can have a detailed overview of specific financial activity! Now you can gain detailed perspectives Patient Responsibility (PR) code information in both the Activity Log and session interface in order to have a better understanding of patients' billing activity.
Updated Client List
A new checkbox has been added so that your client list can now be limited to show only Self Pay clients. Secondary insurances will now display under the Primary insurance. And if the primary insurance is Self Pay, it will now display Self Pay.
Enhanced Authorization
For electronic payers, when you preview a claim before generating the official claim, you can now see a preview of the authorization that should be attached to give better insight. Additionally, the buttons on the Authorization Watch section of the client's chart have been updated to more easily determine if the feature is on/off.
Added More Information to the Shield Icon
The "shield" icon, which can be seen on the Insurance Invoicing page and various payment posting pages, has been enhanced to show more information about the client's insurance. You are now able to see the Primary ID (Subscriber ID) of each insurance.
Created New Payment Method
On the Batch Client and Batch Agency payment posting pages, EFT/ACH is now available to be selected as a Payment Method.

- More and more email providers are blocking emails sent with a spoofed From email address, which is how Therabill currently sends emails on a company's behalf. In order to ensure that all emails are received by clients/patients, we have updated how emails are sent. All emails will now be from "noreply@therabill.com" and will place the company's email address into the Reply-To field so that a patient/client can reply to the email and your company can receive the response. This affects emails such as Client Balance Statements, Intake requests, and emailed appointment reminders.
- After a recent release where the duplicate claim issue was fixed, it was found that there were still some cases of duplicate claims for different scenarios than what was originally reported. This has since been corrected.
- If an insurance requires a delayed reason code, it can be applied on the claim just prior to submitting the invoice. Previously, even though a delayed reason code was selected, it was not appearing in the EDI file. This has been corrected.

- An issue was found were Google Sync was off by one hour for Arizona clinics half of the year, so that the scheduled appointments were displaying incorrectly. This issue has been corrected.
- When downloading information in Therabill using the Documentation Backup, inactive clients were not included in the output. This has been corrected.
- We have corrected the issue where the invoice for the Therabill member sometimes reflects incorrectly.

The connection between the Therabill calendar via Google sync has been corrected. Users should now be able to sync the calendar with Google, which provides a one-way update from Therabill to the calendar. Review this DOCUMENT for details on how to perform the sync.
- Note: If you previously had synced your calendar, once receiving this update you will need to Disconnect then Reconnect.
- Payer ID SKMA0 (Medicaid Massachusetts) is now requiring DK for Ordering Physician instead of DN for Referring Physician. This update has been made and claims should no longer reject for this specific requirement.

- In the past, the system allowed multiple providers to be assigned the same signature code. This caused errors during the cosigning of the note. We have modified this error to explain that only one provider can contain a signature code, and that updates should be made so that only one provide has that value. - We have had reports that recent client payments were not being reflected on the Client Ledger Statements. This issue has been corrected.

- The issue where the items displayed on the Activity Log snapshot report were reporting times in a different time zone has been corrected. Going forward, the times will be displayed correctly. - An issue was identified where the color set for a provider was not being saved and reflected on the Schedule for that provider. This issue has been corrected.

- Previously, there was an issue when PR-2 was recorded from posting an ERA that subsequent EDI/837 files were displaying PR-3 instead, thus causing rejections/denials from secondary and tertiary insurances. This has since been corrected and PR-2 codes will show correctly on EDI files.
- Some Members who have received very large amounts of EDI rejections experienced issues with loading the dashboard. Our team has addressed this issue and now the dashboard will be loading successfully.

- Previously, when applying an unassigned payment on the Batch Client Payment screen, and applying a payment class, the payment class wasn't being saved. This has been corrected, and the payment class can now be seen when searching.
- Claims should only appear in the Unacknowledged Claims Alert when they have been unacknowledged after five days of submission. They had been displaying here earlier, but this has now been corrected.
- Previously, an error was generated when emailing a goal/documentation. This has been corrected, and the email now successfully sends. To ensure that this change in functionality is working properly, please clear your cache.

- For Standalone Members billed directly out of Therabill, invoices showed the incorrect license count although the amount invoiced was still correct. This has since been corrected and future invoices will reflect the actual license count that the account is being invoiced for.
- Previously, when the Address 2 line was entered on the Admin > Member Info page, it was not appearing on client statements. This has since been corrected and the entire address will be available.
- Previously, there was an issue on the "E-mails Sent" Snapshot Report that was causing the To Name and To Email fields to not always populate. This has since been corrected.
- Previously, there was an issue in which User Accounts with View permissions were able to make changes on various pages of Therabill. This has since been corrected. If your User Account has lost access to a page that you need Edit permissions for, please contact your Admin.
- The pricing plan box is now hidden on Integrated and Salesforce Managed Stand Alone accounts. Additionally, STAFF users will now be able to tell when an account is Reverse Integrated.
- Previously, some Members were encountering errors when trying to email Balance Statements to email addresses that were correctly attached to a client's chart. This has since been corrected.
- Previously, when the remittance advice was generated for an ERA, the modifier field did not display any modifiers. This has been corrected, and all modifiers (up to four) will now be displayed.
- When a client receives their Balance Statement via email, the link is now available for 15 days and can be opened multiple times. Previously, it was a one-time link that was only active for 5 days.

Corrected Payments by Date Snapshot Report
Previously, when an insurance payment was added with the method of Credit, the Auth # was not appearing on the Payments by Date snapshot report. This has since been corrected.
Corrected Fee Schedule Display
Previously, when a CPT Code is deleted from Admin > Defaults/Settings > Billing, when a change was made to the Fee Schedule, the deleted CPT Code would reappear and also display on the Fee Schedule. This has since been corrected and deleted CPT Codes will remain deleted from the Fee Schedule.

Previously, on the Payments > Search Payments screen, the Only Show Payments "That are unassigned" filter was not actually filtering the results. This has since been corrected.

Previously, when on the Provider > Referring Providers page and looking at an individual provider's Referrals tab, the percentage of clients that have been referred by that provider was always showing 0%. This has since been corrected and the accurate percentage will be displayed, taking active and inactive clients into consideration.

Previously, when the Monthly AR Snapshot report was being filtered by Billing Address, the values were not displaying correctly. This has since been corrected and the values will be accurate when filtering the report by Billing Address.

Previously, on the Credit Card Transactions report, when a Client and/or Cardholder name was long, some of the columns on the right side would be cut off. This has since been corrected and the names will wrap to the next line to ensure all columns can be displayed.
Corrected Calendar Date Field
Previously, there was an issue when documenting a session. When using a date field, sometimes the calendar would cause the rest of the note to disappear and also cut off the top portion of the window. This has since been corrected and date fields will no longer cause this issue.
Corrected NTE Placement in EDI File
For payers that use the DK qualifier for Ordering Physician, when a Corrected Claim was created, the NTE segment was being added to the wrong location on the EDI file, causing rejections. The placement has since been corrected and these Corrected Claims should no longer be rejected for the NTE segment.
Updated Template Store
Previously, the Template Store was not updated to Worldpay for template purchases. This has since been corrected and Members can now successfully purchase new templates.
Improved Email Accuracy when Sending Client Balance Statements
Previously, after a Client Balance Statement was created and the email box appeared, there was the ability to change the To and By Email fields which increased the chances that a statement could be inadvertently emailed to the wrong individual. This has since been locked down and the To field can only be the Client or Responsible Party related to that specific statement and the By Email field can only contain an email address attached to the Client or Responsible Party. This has also been implemented for the Ledger Statement and Copay Statement.

- Previously, if a Clinic Name or Address had a hyphen, it was being removed from EDI files and CMS-1500s. This has since been corrected and claims will reflect the address as it was listed in Therabill.
- Previously, there was an issue for Standalone Members that after adding a session/event to the calendar, it was reflected as an Open Time Slot. This has since been corrected and the correct information will be displayed.

Enhanced the COB Batch Ins & Batch Ins Payment Posting Pages to Prevent Timeouts
On the COB Batch Ins and Batch Ins payment posting pages, when a search is completed using the Insurance option, the results will now be paginated to ensure the page does not time out and payments can be posted successfully.
Added "Assigned Date" to the Backups Page
On the Admin > Backups page, "Assigned Date" is now an included data point for the Payments backup. Additionally, the CSV files that used to be generated will be housed in ZIP files to account for the large amount of data that may be requested.

When creating PDFs for documentation, additional blank lines were being added that increased the page count. This has since been corrected and these blank lines have been removed and some line spacing has been reduced to keep the page count as low as possible.
- Previously, if an electronic Corrected Claim was created for Unitedhealthcare Community Plan AZ, 999 rejections were received for the NTE segment. The NTE segment for these claims has been moved from Loop 2400 to Loop 2300 and this rejection should no longer occur .

Added CVV Code Field Box
On the Client Balance Statement, when generated as an Invoice, there is now a box for the client to write in the CVV code for their credit card payment. As a reminder, this form should not be saved after processing. Please cross-shred or otherwise destroy this form to protect the privacy of your patients. It is against PCI standards to save this information.

- Previously, the Middle Initial for client insurance cards was not being received from the WebPT EMR. This has since been corrected and the Middle Initial will now populate on insurance cards if it was entered in the WebPT EMR.
- There was an issue preventing Paid Text Reminders from being successfully sent to clients. This has since been corrected.
- Previously, when an adjustment was edited, the Payer name was removed thus affecting secondary/tertiary claim submissions and reporting. This has since been corrected and the Payer's name will no longer be removed.

Previously, some transactions were not showing up on the Credit Card Report although they were successful or denied. This has since been corrected and future transactions will appear on the report.

Previously, there was an issue that allowed users to double-click the Process Transaction button when taking a client payment with a saved card on file. Now, the button will be disabled after the first click to prevent double-charging the card. Additionally, if a client was selected prior to taking a card payment, the client's name will now appear on the Credit Card Report. This will help in situations in which the cardholder's name was unable to be retrieved.

Previously, some companies were getting an Organization Type error when adding a Worldpay device. This has since been corrected and devices can now be added.

Previously, some companies were running into issues when trying to save a client's card on file for future payment transactions. Now, when an issue is encountered, the system will try three times to save the card. If it still fails, a message will be displayed stating that the card was not saved.

Integrated Payments from Worldpay
Worldpay is now available in Therabill to collect patient payments. For more information and to sign up, please see this article. For Members integrated with the WebPT EMR, it is suggested that Worldpay be set up in the EMR to allow for payment balancing between the EMR and Therabill.
Adjusted the Entered Date to Remain Fixed on Client Payments
Previously, when a client payment was assigned to a session, the Entered Date would change to the current date. This has since been corrected and the Entered Date will never change. Additionally, a new date field has been created named Assigned Date. This will populate with the date that the client payment was actually assigned to a session. The new Assigned Date data point can also be used in Custom Payment reports.
Service Facility Address on EDI Files
When submitting claims through Availity, several payers are starting to reject claims for the Service Facility being identical to the Billing Provider. Now, when the Service Facility (Loop 2310C, equivalent to Box 32) is identical to the Billing Provider (Loop 2010AA, equivalent to Box 33), it will no longer be included in the EDI/837 file in order to prevent these claim rejections.

In order to ensure that Members do not get a loading error when using the Select Client option on the Insurance Invoicing page, the client list will now be paginated. To see additional clients, simply use the arrows or enter additional search criteria. During the original release of this feature, when using the Addendum Only filter, the client list was not condensing to reduce the number of pages. Now, all filters will correctly reduce the client list to as few pages as possible.

New York Worker’s Compensation Board Enhancement
In order to support the new requirements for the NYWCB, we have partnered with our existing clearinghouse, Jopari, to generate and electronically submit XML files to the Board. Starting Monday, August 1, 2022 any Member that has already registered their NPI for XML through the New York State website will automatically have XMLs submitted for them. Those that have not yet registered will receive EDI Rejections until their registration is complete. Added Case Name WebPT EMR to Therabill Integration
The case name in the WebPT EMR will now flow over as the case name in Therabill for new cases. Existing case names will be updated in Therabill if they are updated in the WebPT EMR. The case name will appear on the insurance billing screen as well as on the patient statement.

Previously, there was an issue with the Supervised By feature between the WebPT EMR and Therabill. Finalized notes would show as successfully transmitted but would never show up in Therabill nor generate an HL7 Transmission Error. This has since been corrected and HL7s that cannot be successfully added into Therabill will create an error that can be worked.
Note: We have attempted to resurface as many missing HL7s as possible. Please check Therabill's HL7 Transmission Errors before creating an addendum on a missing note. Also, if the session was added manually, any related HL7s can be ignored.

Added Ability for Therapy Assistants to Finalize Notes in WebPT EMR
If given the correct permissions, therapy assistants are able to finalize notes in the WebPT EMR when documenting once they have chosen a supervising therapist. Empowering therapy assistants with this new permission removes the need for supervising therapists to cosign notes and expedites the process for finalizing documents. To provide therapist assistants the needed permissions, , the following criteria must be met:
- The clinic must be integrated with Therabill;
- The Therapist Assistant Finalization Clinic Setting must be On (click here for instructions);
- The Therapist Assistant Finalization Insurance Setting must be On (click here for instructions),
- Each therapist assistant must have the Finish SOAP Notes user permission enabled (click here for instructions).

This would happen when a client had at least one unmapped insurance card. Added DK Qualifier for Ordering Physician
Arizona Complete Health (Payer ID 68069) and Medicaid Louisiana (Payer ID SKLA0) have been updated to use the DK qualifier for Ordering Physician instead of the standard DN qualifier for Referring Physician.
Previously, when using the Batch Paper option on the Insurance Invoicing page, if sessions/procedures being invoiced were assigned to different Service Facilities, only one of the Service Facility sessions/procedures would be included in the batch and users would have to determine the missing 1500s and manually print them from the Filing > CMS-1500 page. This has since been corrected and all sessions/procedures selected for batching will be included in the batch PDF.

CMS 2022: Updated Place Code 02 and 10
Place Code 02 will now only apply to telehealth visits completed outside the patient’s home and Place Code 10 will apply to telehealth visits performed at a patient’s home. - Previously, EDI files for Secondary and Tertiary Payers generated the AMT*EAF segment (remaining patient balance) at the Service Line level—even when there was not a remaining balance. This issue has been resolved and the AMT*EAF segment will only populate when there is also a CAS*PR segment on the Service Line.

Added WebPT EMR DOS
In order to help billers more easily see which DOS is applied to a payment, a new line has been added to the results table for unassigned client payments and the Edit Payment screen. The EMR DOS will now be displayed under the Payment Information column. And the EMR DOS field will be displayed on the Edit Payment screen (this field will be editable for all unassigned payments but will not be editable for assigned payments). Please note: This field will only be filled in automatically for payments that integrate from the WebPT EMR.
Updated Coinsurance-Type Amounts: In order for claims to be processed correctly, the Coinsurance-Type amounts will be listed as PR2 instead of PR3 (Copay) on EDI files.

Secondary Insurances Rejecting Claims due to $0 Value in EDI Line CAS03: To reduce the amount of claim rejections, only the CAS*PR segment will appear on EDI files when the Patient Responsibility is greater than 0.00.

- Secondary claim submissions with a payment less than $1.00 is resulting in a rejection due to the leading zero. Now when a payment less than $1.00 is sent on an EDI file, it will be listed without the leading zero (.25).
- UnitedHealthcare Community Plan AZ and Medicaid Ohio are requiring that the referring provider field (DN) be listed as DK for the ordering provider instead. This has been resolved.

ICD-10 Updates: On October 1, 2021, changes to the ICD-10 Library will go into effect in Therabill. The updates contain 159 additions (14 of which are related to neck or back), 32 deletions (including M54.5 for low back pain), and 20 revisions. In order to support Members with these changes, an error message will appear when a therapist attempts to finalize the note if an invalid code is used. Added Account Balance Write-Off Feature: The highly requested Account Balance Write-Off feature is now available! Members can simply navigate to the Account Write-Off screen and write-off part or all of a patient's balance and assign it a write-off reason. They can also use this feature to remove a balance from their A/R or undo a write-off.
Added Account Balance Write Off Report: The all-new Write-Off Balances report is now available in the Balance/AR section of the Snapshot Reports page. This report displays all clients that have provided a write-off in a selected date range. It can be especially useful to track balances that have been sent to collections or adjusted for financial hardship.

Added G-Codes: CMS has recently announced the deletion of G2010 and G2012 in the 2021 Annual Update to the Therapy Code List effective 1/1/2021. The following two new communication technology based service codes have replaced G2010 and G2012 and are available in the Therabill. These codes will count as visits towards the Medicare process note requirement.
- G2250 (replaced G2010): Remote assessment of recorded video and/or images submitted by an established patient (e.g., store and forward), including interpretation with follow-up with the patient within 24 business hours
- G2251 (replaced G2012): Brief communication technology-based service, e.g. virtual check-in, by a qualified healthcare professional, 5-10 minutes of medical discussion.
Please note: PTs, OTs, and SLPs who billed for G2010 and G2012 for dates of service in 2021 can adjust accordingly and Chiropractic Members will still be able to bill for G2010 and G2012 and see these codes available in Therabill.

- U07.2 'virus not identified' is assigned to a clinical or epidemiological diagnosis of COVID-19 where laboratory confirmation is inconclusive or not available.

Batch Primary Paper Button and Screen: Previously, Members had to filter through claims, client by client, to print paper claims. Members are now able to print all paper claims in bulk for clients who have a primary print and mail only insurance card. Click here to learn more.
Updated Balance Statement: The Balance Statement has been updated with a new look. Members can now customize the remit address and credit card options in the statement settings. Patients can also write in the amount that they would like to pay under Payment Amount. Additionally, Members can now age their charges from “First Invoice Date” in the balance statement setting (i.e., the date when the charge was printed on a balance statement), which will help them more easily identify delinquent patients.
Added Edit Capabilities for Medicare Advanced Payment Program: Due to the Medicare Advanced Payment Program, Members are now able to edit dates and check numbers on ERAs to keep track of program funds. See screenshot of where the edit functionality has been placed below:

- G2061: Qualified non-physician healthcare professional online assessment and management, for an established patient, for up to seven days, cumulative time during the 7 days; 5–10 minutes
- G2062: Qualified non-physician healthcare professional online assessment and management service, for an established patient, for up to seven days, cumulative time during the 7 days; 11–20 minutes
- G2063: Qualified non-physician qualified healthcare professional assessment and management service, for an established patient, for up to seven days, cumulative time during the 7 days; 21 or more minutes
Please note that can only be used for e-visits (i.e., an established patient has reached out for exercise progression or is experiencing increased pain). More education will be available soon and shared in the app to our Members, while this blog article explains more about billing for telehealth for rehab therapists.

Rendering Provider Taxonomy Added to All Electronic Submissions: Rendering provider taxonomy will now be added to all electronic submissions sent from Therabill. If a payer does not want this information, this feature can be turned off in the insurance settings. To access, navigate to: Billing > Insurance List > Info & Settings. Then, deselect the checkbox for: Loop 2310B - Segment PRV: Do not include the rendering provider taxonomy code (PRV segment) on EDI claims.
EDI File Will Only Include Custom Box 33B Information: EDI files will now only include the Custom Box 33B Information for an insurance’s taxonomy. The custom insurance info is set up under the insurance list. To access, navigate to: Billing > Insurance List > Info & Settings > Box 33 > Edit information. Then, add the Box 33 B value.

Send for Signature Links Only Allow Users to Access Signature Page Once: To increase security when emails to clients and referring providers are sent out of Therabill for a signature, the recipient will have one opportunity to access the signature page and provide a signature. The link will not be accessible more than once.

Resubmission Filter: A filter for resubmissions has been added on the insurance invoicing screen. Users can now filter for resubmissions only as well as exclude resubmissions from their search results.
Payment Update Actions in Activity Log: When a payment update has been ignored or applied by a user, it will be viewable in the Activity Log.
New Resubmission Icon on Insurance Invoicing Screen: On the Insurance Invoicing Screen, a new yellow icon will indicate if that line was a resubmission.
New DX Column on Insurance Invoicing Screen: On the Insurance Invoicing screen, users will now be able to see the DX Case Name in a column called DX Case.

- When an authorization number is added to WebPT EMR with a trailing space, it does not map properly when the authorization is sent to Therabill; thus returning no match. This has been corrected to exclude trailing spaces when doing the match.

Denial Remark Code Updates: Denial remark codes 253 thru 295 and P1 thru P29 are now available for use. These codes communicate a reason for an adjustment that describes why a claim or service line was paid differently than it was billed.
Agency Payment History Report Updates: hhe Agency Payment History report has been updated to have all fields correctly populate on the report.
Defects Corrected
- Both Member-created insurances as well as global insurances (when named the same) will now appear on the insurance list. (Previously, if a Member-created insurance name was the same as a global insurance name, the global insurance would not appear in the insurance list.)
- When Members email a payment receipt from the Filing Cabinet to the client, it will now contain the correct URL for the receipt.
- Balance Statements will now correctly show or not-show the balance forward, based on the setting.
- When the patient balance is now under the insurance responsibility—and not the agency—the session will now show the insurance name.
- Once all of the addendums have been archived, the addendum alert will no longer display in the Things to Do area.
- Patients with an apostrophe in their name will now have ERA payments processed correctly.

New Taxonomy Codes: Taxonomy codes are attached to provider profiles in Therabill to identify the provider type and area of specialization. Two new taxonomy codes are now available in the add/edit provider screen:
- 106E00000X (Registered Behavioral Technicians)
- 106S00000X (Assistant Behavior Analyst)
This article describes how to add or edit a provider, which is where the taxonomy code is entered.

- The custom date range filter for Addendum Alerts has been corrected.
- Modifications were made to the Provider Code Summary snapshot report to show correct totals within the group.
- When filing attachments, the error message stating, “Do not use special characters in file name” has been removed; because special characters are allowed.
- The pay to address under Provider Groups has been modified to required a 9-digit zip code.
- While deselecting the autofill payment to sessions option when making a batch agency payment, an incorrect error message will no longer appear.
- After deleting an agency, that agency will no longer appear as the default on client records.

- Clicking on the “No Auths on File” box will now allow processing to continue normally without error.
- Payment balance will now be visible after viewing session information.
- The invalid pop-up box will no longer appear on the Box 33 settings for the insurance.
- If attempting to invoice a Date of Service line that does not contain a provider, an error message will now be displayed.
- Changes made to the Agency setting “Hide Unassigned Pmts” will now be saved.
- The Agency setting “Show NPI” will now be used correctly in processing.
- Filtering for batch agency payments has been corrected, and will do a refresh appropriately.
- The Agency Balance Statement has been modified so that it no longer truncates data.
- When a provider enters a simple note but does not finalize it, the clinic owner or admin can now successfully delete the note.

- The All/None option in Batch Invoicing now works correctly in Internet Explorer and Edge browsers.
- The N/A radio buttons on the Advanced tab of the Client card are now being saved.
- When users swipe a credit card, if it is an invalid swipe, a message will be issued so that the user can try swiping the card again.
- Report changes were made to the Agency Filing report so that the data appears correctly.
- Agency statements are now printing the second address line.
- The Faxes Sent snapshot report now issues a message when no faxes are found to display.
