Using Authorization Watch, you can attach insurance authorizations to your claims. When you submit a claim to insurance and Authorization Watch is enabled, the system will automatically assign the next expiring authorization to the session. This provides a simple, hands-off method for handling authorizations. However, you can manually bypass this automation and force a specific authorization on the session.
Force An Authorization
- Open the Add/Edit Session window using your preferred method.
- In the Billing & Coding area, select View Client Authorizations.
- Using the Auths on File window, select the radio button of the authorization you wish to attach.
- Close this window and then select Save & Done.
Why is the authorization grayed out?
If the authorization does not have any remaining visits/units or the session has a Date of Service outside of the authorization date range, you will not be able to select it.
What if the session was previously billed with a different authorization?

Can I do this with recurring sessions? (Standalone)
Yes, you can. When you manually select an authorization for a recurring session, the system will apply that authorization to all sessions in the recurrence. If the authorization expires (i.e. there are no sessions remaining on the authorization or the expiration date has passed), then when you bill out the claim, you will see an authorization watch error. You can then edit any affected sessions and link them to a different authorization.
Why can't I see the authorization when previewing the claim?
The authorization only appears once the claim has been created. You can view the information by going to Filing > CMS-1500 and downloading the patient's CMS-1500 form.
