The initially bill to option on the add session form is where you tell Therabill whether the charge you are entering should be billed to the client or billed to insurance prior to billing the client. If you are using agencies in Therabill (such as school districts, law offices, etc) then this is also where you would tell Therabill to initially bill it to the agency.
Adding a session for a client is where you indicate this initially bill to option. Once the session is added, it then goes in to that system. It is important that you set this correctly (which is why Therabill has highlighted it with a big red arrow and placed a video help icon directly to the right of it). This is a pretty important field!
The initially bill to option is not available from the edit session form (unless you had not entered a client on the session, an open time slot). This is why it is pretty important to select it correctly when adding the session. However, if you do enter the session incorrectly, all is not lost. There is a way to change it.
I added the session with the wrong initially bill to option and now I need to change it
To understand what you need to do to change the "initially bill to" after the session is added, it is helpful to conceptually understand the session status in Therabill. In a nutshell, every service code you enter has a status. The status will be something like confirmed, open to insurance, closed / patient due.. etc. When you set the initially bill to, you are basically setting the initial status of that session. The main way to change the session status of a session is through an enter payment form. This is because, entering a payment is when you would normally change the status. For example, you initially billed to insurance and then received payment from the insurance company and you now want to close the session (charge the balance due to the patient). A little more about the initially bill to option on the add session form
As you have read, once you set the initially bill to option on the add session form, it is a little more work to change it. This is usually not bad for a single session entered, but when you are entering a recurring session and you enter it incorrectly, it can result in a lot of work to change the status of every session. This is why you should make every effort to have it entered correctly when adding the session.
Therabill tries to help you select the initially bill to option by pre-selecting it for you once you choose the client on the add session form. Once you choose the client on the add session form, Therabill goes and looks at the client information that you have entered. If you have marked the client as self pay then Therabill will change the initially bill to option to Client. If you have not marked self pay and you have entered insurance cards for the patient, then Therabill will change the initially bill to option to Insurance for you. Otherwise, if you have not marked self pay and you have not entered insurance cards for the patient, then Therabill will leave the initially bill to option selected as Please choose and you will be prompted to choose the initially bill to option when adding the session.

We have found recently that if a session is cancelled by changing the Session Class, then later the session is 'resurrected' to a kept status, the 'initially bill to' is not also resurrected to bill the insurance (when that's how it was to begin with). Since one cannot change the Initially Bill To field when in edit mode, and I don't really want all my providers having to know how to enter a payment to change the status (that's what they pay me for), what are the options? We need a tickler or report or something that will alert us to sessions whose statuses were previously bill to insurance but are now being billed to the client...
