How to Add Multiple CPT / Service Codes to a Single Session

You have a single therapy session with multiple procedures or modalities.  Here is how you can enter multiple CPT codes (or Service Codes) for a single therapy session in Therabill.

Adding Multiple CPT Codes to a Single Session

Enter the first CPT code information

This is done from the add or edit session form.  At the bottom left of the add / edit session form, there is an area for entering the CPT code (or Service Code) for the session.  When there is only a single CPT code (or no CPT Code) associated with the session, then the form will appear as shown in the image to the right.  Enter the first CPT code information into this form.  Enter the CPT code in the Service Code text box, enter the number of units for that service code in the units text box and enter the charge amount for that CPT code in the Charge amount text box.  This information will appear as a single service line on the CMS-1500.   Enter the information as you want it to be on the service line of the CMS-1500 for that CPT code.

To enter additional CPT codes

Click on the Add Service Code button (see image above with red arrow). You will be presented with the form on the right. Enter in the appropriate information for the next code that you wish to add and click the Save button. You can repeat the process for each additional code that you need to add to this session.

A Session with more than one CPT Code

The service code area of the add / edit session form looks a little different for a session that has more than one CPT code associated with it.  It will no longer appear as in the image to the right (top).  It will now appear as in the image to the left.  Each CPT code that you have entered will be listed.  Each CPT code will have a delete icon and an edit icon.  This allows you to delete or edit the individual CPT codes. 

A session with multiple CPT codes will still appear as a single session in your schedule.  However, when it comes to billing related features (i.e. billing insurance and entering payments), the session is broken up in to individual CPT codes.  This is because each service line on the CMS-1500 is for a single CPT code.  The insurance company also pays you individually for each CPT code.
