You may have applied a client payment to a service line and now have the need to reassign the payment to another service line on that session or to another session entirely. This could be for a variety of reasons, such as an insurance re-adjudicating a claim.
How to reassign a client payment
- Navigate to Payments > Search Payments.
- Use the search filters to locate the payment you want to reassign. You will typically enter the client's name, a specified date range, and to only show client payments.
- Select the icon to bring up the Delete Client Payment screen.
- Select Reassign Pmt.
- Using the Reassign Payment window, indicate how much of the payment you wish to reassign to the various lines in the Amount box. You can reassign the entire amount or only a portion. This window will show you the original amount and the amount that you are choosing to reassign. Important: Therabill will allow you to do enter more than the current balance on the line. It is recommended that you do not create negative balances. Having sessions with a negative balance can throw off your Accounts Receivable and Claim Aging reports
- Click Apply.
Each service listed on the Reassign Payment window displays information including the Date of Service, service code, charge amount, client payments, other payments and adjustments, and the current balance.
Note: If no sessions are listed, then you cannot reassign this payment. Instead, you may want to unassign the payment. For more information, please see: Unassigning Client Payments.
Is there another way to get to the Delete Client Payment screen?
Yes, there are several different ways to access this screen in order to unassign, reassign, or delete client payments. Throughout Therabill, you will often see a icon. Clicking on this icon will open the Single Session screen in which you would then complete steps 3-6 listed above.
