Payments entered into Therabill can be searched and reviewed at any time. Let’s say you may be unsure if a certain payment was previously posted or if you are trying to review/correct a payment that has already been posted. This can be done by going to Payments > Search Payments.
Important: If a payment was deleted, you will not be able to locate the payment in the search entered payments screen.
Searching For Payments
1. From your Dashboard, go to Payments > Search Payments.
2. The system will automatically choose a Posted Date Range within the past two days, and any payments posted during that time frame will display.
Note: If no payments populate, or the payment that you are searching for isn’t listed, you’ll need to update the filter options.
3. Each column shows the payment information that was entered into Therabill and this information is also how the filter box will pull the information when searching.
A. Posted - refers to the date the payment was posted/post date
B. Session Info - lists the Date of service, CPT Code, and the client name
C. Payment From - shows the type of payment received and who it was from
D. Payment Information - provides the EMR Date of Service (DOS). payment method, date of check/EFT, check or auth#, as well as the session action that was last chosen for that amount
Filter Box Overview
Payor Name - the name of who the payment was received from
Client Name - the name of the client/patient the payment pertains to
Check/Auth# - check or EFT number associated with the payment that was posted
Posted Date Range - the date range that the payment was posted/entered in Therabill
Check/Auth Date Range - the date range of the check/auth that was posted/entered
Deposit Date Range - the date range for the deposit date entered/posted
Service Date Range - the date of service range of the payment that was entered/posted
Please also be mindful of the following filters. These can be checked and unchecked as desired to locate a payment and can affect what payments do or do not display:

Payment Type:

Other Useful Tools
There are multiple payment features available for use directly from this page, like being able to view a session. You can also create a payment receipt, delete a payment entry, and edit the information entered for the payment entry itself. This screen makes it easy to review and resolve any payment discrepancies.
View Session
Under the Session Info Column, click the blue pencil and it will allow you to View Session.
Entry Tools
Located on the right side of the Amount column are the Payment Tools/ Receipt, Edit Payment, and Delete Payment Icons. These icons pertain to the payment row, that is why you see these icons on each row (white or grey).
