Before processing credit cards using your Worldpay device in Therabill, you must first set up a merchant account with Worldpay and then add the device to your facility(s). If you do not have a Worldpay device, you can process transactions using the Key In method. For information on getting started, please see: Worldpay - Account Setup and Device Overview.
Processing credit card transactions through the Payment Gateway in Therabill
Device In Method:
- Open the Credit Card Gateway using the
icon.
- Use the Client field to indicate a client, if applicable. Selecting a client will allow you to post the payment to their session after the payment has been processed.
Note: If you are integrated with WebPT and collecting a payment that has already been entered in WebPT, such as a co-pay, then the Client field will typically be left blank. Entering the client name into this field can result in a duplicate posting of the payment to the client's account. - For the Entry Method, select Device In to utilize your Worldpay device. Note: To save this credit card on file, select SAVE CARD ON FILE before processing. You will also be able to save a card on file with a $0.00 charge. Important: If you are experiencing issues saving a patient card on file, please reach out to Worldpay to enable the PASS tokenization.
- Enter the dollar amount you want to charge in the Amount field, then select which Device to use. Click Process Transaction.
- Continue processing the card following the steps on your device. The patient will complete the transaction by inserting the card into the chip reader or swipe device when prompted. The Transaction Result will display on the payment window once the card reader captures the card information.
Key In Method:

- Enter the Card Holder and Payment Information, then click Generate. If you selected a Client and would like to save the credit card for future transactions, check the box for Save credit card.Note:If you run the same card within 20 transactions of each other, it will fail as a duplicate. To allow for these transactions, select Allow duplicate. For example, if a parent pays for each of their two children on the same day, you will need to select Allow duplicate before processing the transaction.
- Enter the Card Information, then select PROCESS TRANSACTION.
- Once the payment has been processed, you will be directed to the Batch Client screen to post the payment to a session.
Card on File Method
If a Client’s card has previously been saved on file, the card information will automatically populate when entering the client’s name into the Client field. You’ll be able to quickly process the transaction after entering an Amount and clicking Process Transaction.
Denied Credit Card Transactions
If the card was declined, a dialog box will appear giving you the reason why. This response is from the credit card processor, not the application. You will need to direct questions about denied transactions to the cardholder or to the merchant account.
